Scanning and your library

Where are my documents?

In the Hola PDF folder of the Files app, as ordinary PDF files. With iCloud Drive on, that folder is in iCloud Drive; without it, it is under On My iPhone or On My iPad. On the Mac, it is the Hola PDF folder in iCloud Drive in the Finder. A PDF you put into that folder from anywhere else appears in the library, and one you delete there leaves it.

How do I scan?

Tap the Scan button. On iPhone and iPad the document camera opens, finds the page and shoots when it is steady. Hold the Scan button, or use the arrow beside it, to start from photos or image files instead; Hola PDF finds the page in each picture and crops it. On the Mac, scanning starts from photos and image files.

Before you save, each page can be given a filter — Color, Grayscale, Black & White or Photo — rotated, cropped, retaken or deleted, and new pages added. Settings sets the filter new pages start with, and the quality.

The page's edges were found in the wrong place.

Tap Crop in the review and drag the four corners onto the page's corners. A plain, contrasting background under the paper helps the camera find it in the first place.

I closed the app in the middle of a scan.

It kept it. The next time you open Hola PDF, it offers to carry on with the unfinished scan, or to throw it away.

How do I get PDFs into Hola PDF?

Several ways. Add PDFs in the library's menu picks files. From another app, share a PDF or a photo and choose Hola PDF in the share sheet. From the Files app, open a PDF with Hola PDF. On iPad and the Mac, drag PDFs onto the library.

How do I rename, favorite or file a document?

Touch and hold it in the library (on the Mac, Control-click it). The menu renames it, marks it as a favorite, moves it to a folder, and tags it. On iPhone, swipe a row left to delete it or right to favorite it. Folders and favorites appear above the library on iPhone and iPad, and in the sidebar on the Mac.

Text and search

How does searching inside scans work?

Hola PDF reads the text of every page it scans, on your device, in English, Spanish and the other languages Apple's text recognition knows. The library search then finds documents by any word in them, not only by their titles, and so does Spotlight. A long document takes a moment to read after it is saved; it is searchable as soon as it has been read.

PDFs you add from other scanners are read too. If you would rather they were not, turn off Read Text in Added PDFs in Settings.

Other apps can't find the text in my scans.

Without Pro, the text Hola PDF reads is kept in Hola PDF, where the library search and Spotlight use it. Make Searchable, part of Hola PDF Pro, writes it into the PDF file itself as an invisible layer, so any app can search it and you can select and copy it anywhere. With Pro, new scans get the layer automatically.

Marking up, signing and passwords

Will my highlights and notes show in other apps?

Yes. Every mark Hola PDF makes is a standard PDF annotation, saved in the file, so Preview, Acrobat and other PDF apps show it too.

How do I sign a document?

Open the document and tap the signature button. The first time, tap New Signature and draw it, type it in a handwriting style, or photograph it on paper, then save it. After that, choose it and tap the line you are signing on. Tap the signature to select it: drag it to move it, and use Larger and Smaller to size it.

Your signatures are kept in your Keychain. The free version signs three times a month; Hola PDF Pro has no limit.

Can I change the words printed on a page?

With Hola PDF Pro, yes. Open the Annotate bar, choose Edit Text and tap the line. Its words appear ready to change, and the new words are laid over the old ones in the same face and size, as a standard annotation every PDF app shows. The original words are still in the file underneath: Edit Text is for fixing a typo or a date, not for hiding something. To take words out for good, that is redaction, which Hola PDF does not do yet.

How do I ask someone else to sign?

With Pro, open the document's More menu and choose Request Signature. Write your name and, if you like, theirs and a message; then tap each place they should sign and tap Send. The file goes however you choose: Messages, Mail, AirDrop, anything. When they open it in Hola PDF, which is free, a banner tells them you asked, walks them through signing every field in one go, adds a signing record as the last page (who asked, who signed, when, on what, and the fingerprint of the file they received) and offers to send the copy back to you. There is no server and no link: the document only travels the way you sent it. Other PDF apps show the fields but will not guide the signer.

How do I lock a PDF with a password?

In the document, open the More menu and choose Protect with Password, or use Protect PDF in Tools. The file is encrypted with AES-256, which every current PDF app can open with the password. You can add a second password that is needed to change the document, and choose whether people with only the first one may print it or copy its text. Password protection is part of Hola PDF Pro.

I forgot a PDF's password.

There is no way to open it without the password — not for us, not for anyone. That is what the encryption is for. If you turned on Remember on This Device when you protected it, that device still opens it for you.

How do I lock the whole app?

Turn on Lock with Face ID (or Touch ID, or your passcode) in Settings, and choose how soon it asks again after you leave. On the Mac, ⌘L locks it at once.

Apple Intelligence, translation and reminders

What does Apple Intelligence do in Hola PDF?

On a device with Apple Intelligence, and with Pro, a document's More › Summary & Details gives you a summary, answers to your questions about the document (from its text alone), what kind of document it is, tags a tap away, and a receipt's merchant, total, date and category. When you review a new scan, it offers a name and tags; nothing is applied unless you tap it. In the library, two words or more in the search field ask the model what such a document would say, in English and Spanish both, so "warranty for the fridge" finds the refrigerator's guarantee. All of it runs on your device: no text is sent anywhere. On a device without Apple Intelligence these features do not appear; everything else works the same.

How does Translate work?

In a document, More › Translate shows the page beside its translation as prose, or the translation laid over the page's lines, one page at a time. Translation happens on your device with Apple's Translation framework, using the languages your device has downloaded (the Settings app, under Translate, or the Translate app). Hola PDF offers English, Spanish, Portuguese, French, German and Italian; the first time you pick a language the system may offer to download it.

What are the expiry reminders?

When a document's text says when it expires or must be renewed, in English or Spanish, the date shows under Expires in Summary & Details. Remind Me puts a reminder in the Reminders app, due on the day, with alerts a week before and on the day. The first time, iOS or macOS asks whether Hola PDF may add to your reminders; it never reads them.

Hola PDF Pro

What is Hola PDF Pro, and what does it cost?

One optional purchase that adds the text written into your PDFs, password protection, split and extract, editing printed text, requesting signatures, the Apple Intelligence features (on devices that have it), and no limit on signatures and merges. It is a one-time purchase, not a subscription: US$19.99 in the United States, and the price for your country is shown in the app before you buy. Scanning, reading, marking up, organizing pages and sharing are free and stay free.

I bought Pro. How do I get it on my other devices?

Sign in with the same Apple Account. It usually arrives by itself; if not, choose Restore Purchases in Settings or on the Pro screen. One purchase covers your iPhone, iPad and Mac, and Hola PDF Pro works with Family Sharing, so people in your family group have it too.

iPad and Mac

What's different on iPad?

The library stays beside the document, and a document can show two pages side by side (More › Layout › Two Pages). Draw and mark up with Apple Pencil.

What's different on the Mac?

It is a Mac app of its own, with a sidebar for your folders, tags and Tools. The Document menu lists the keyboard shortcuts: ⌘F finds in the document, ⌥⌘F searches the library, ⌘↓ and ⌘↑ go to the next and previous page, ⌥⌘↑ and ⌥⌘↓ to the first and last, ⌘D bookmarks the page, and ⇧⌘S signs. Open in New Window puts a document in a window of its own. Settings are under Hola PDF › Settings, where Show in Menu Bar adds a menu bar extra with Images to PDF, Add PDFs and your recent documents.

Everything else

Do I need to be online, or sign up for anything?

No. Scanning, reading text and everything else work with no connection and no account. Buying or restoring Hola PDF Pro needs a connection to the App Store, as any purchase does, and iCloud Drive syncs your library when you are online.

Can I use it in Spanish?

Yes. Hola PDF follows your device's language, in English or Spanish. To use it in one language while your device is in another, open the Settings app, choose Apps › Hola PDF › Language.

What does Hola PDF know about me?

Nothing. It has no accounts, no analytics and no server; your documents stay on your devices and in your own iCloud. The details are in the privacy policy.

I found a bug, or have an idea — what now?

Email the address below with as much detail as you can: what you were doing, what you expected, and what happened instead, and whether it was on iPhone, iPad or Mac. Screenshots help a lot. Please don't send a document you would rather keep private; a description of it is usually enough.
